How clients unsubscribe from your emails
What a client can and cannot switch off when they unsubscribe from a Calso email, which booking emails keep arriving regardless, and how to get someone back on your list.
Every email Calso sends on your behalf gives the person receiving it a way out. Knowing exactly what that opt-out stops — and, just as importantly, what it never stops — tells you whether a client who says they stopped hearing from you has a problem you can fix.
You do not administer this. Unsubscribing happens entirely on the client's side, through the Manage email preferences link in the footer of every Calso email, and the choice they make is recorded against your workspace only. The switches you control sit somewhere else entirely — in Settings → Notifications, where you decide which emails go out at all. What the unsubscribe link opens
Manage email preferences opens a page titled Email Preferences, showing the address the email was sent to and four categories the client can switch off individually:

The same four appear for everyone who lands on the page, so a client may well see categories that were never relevant to them in the first place. Nothing is recorded until they press Save preferences, which answers with Preferences saved successfully. — a client who ticks boxes and closes the tab has changed nothing.
Below the categories sits a single button, Unsubscribe from all non-essential emails, which switches off every category at once. Once that has been saved, the same button reads Re-subscribe to all non-essential emails, so the decision is reversible from the same page.
The emails that keep arriving
The page is explicit about the line it will not cross: Booking confirmations, cancellations, and reschedule notices are transactional emails required for the booking, and they cannot be unsubscribed from. For a one-to-one session that holds absolutely — an opted-out client still receives the confirmation when they book, the notice when you cancel, and the new details when you reschedule.
A reminder you send by hand from a client record, using the Send Reminder action on an upcoming session, also goes out regardless of their preferences.
What an opt-out does stop
Everything you send for your own reasons rather than theirs:
- Automation emails. Every email sent by an automation counts as marketing. An opted-out client is skipped before the email is assembled, and nothing in your dashboard records that it happened.
- Package alerts. Low-credit warnings and expiry reminders about a client's session package stop for anyone who has switched off Package alerts.
- Announcements from Calso. These are covered by the same marketing category, which is worth knowing before you click unsubscribe on your own copy of a workspace email out of curiosity.
An opt-out is scoped to your workspace. A client who unsubscribes from your emails carries on receiving mail from any other coach they book with on Calso.
One tap from the inbox
Gmail, Apple Mail and Outlook show their own unsubscribe button beside the sender name, and Calso supports it. That button gives the client no categories to choose from, so tapping it can switch off everything non-essential from your workspace in one go — a heavier outcome than the preferences page, reached with less deliberation. They land on a short page reading You've been unsubscribed, which tells them booking confirmations and cancellations will still be sent.
Finding out who has opted out
Calso does not keep a list you can browse, and there is no opted-out flag on a client record. Preferences belong to the client and live behind their own personal link, so the practical signal is usually the client themselves — or a follow-up that visibly never landed.
That also means putting someone back on your list is something you ask for rather than something you do:
- Send them any Calso email
The link they need rides in the footer of every email, and each one carries a fresh copy. A booking confirmation from a session they book, or a manual reminder from their client record, is enough. Links older than 90 days stop working and show Invalid or expired unsubscribe link. instead of the preferences page, so an old email in their archive will not do.
- Ask them to open Manage email preferences
It is the small underlined link at the very bottom of the email, below your sign-off and any branding. It opens the Email Preferences page already loaded with their address and their current choices.
- Have them turn the categories back on
Ticking a category's checkbox turns that email back on. If they had unsubscribed from everything, they press Re-subscribe to all non-essential emails first, which releases the individual checkboxes.
- Confirm they pressed Save preferences
Nothing takes effect until they do, and the page answers with Preferences saved successfully. Once that appears, your automations and package alerts reach them again from the next send onwards.

Frequently asked questions
Can a client unsubscribe from booking confirmations?
No. Confirmations, cancellation notices and reschedule notices for a one-to-one session are treated as transactional email — they are part of the booking itself, not something you are sending them for your own reasons. The unsubscribe page says so in as many words, and there is no switch on it that turns them off. A client who has unsubscribed from everything else still gets the email that tells them when and where their session is.
Why did my automation email never reach one particular client?
Automation emails count as marketing, so anyone who has switched off Marketing & announcements — or unsubscribed from everything — is skipped before the email is built. Nothing in your dashboard reports the skip, so the automation looks like it ran normally. If one client consistently misses your follow-ups while everyone else receives them, an opt-out is the first thing to suspect.
A client says the unsubscribe link in my email doesn't work. What happened?
Unsubscribe links stop working 90 days after the email was sent, and an expired one shows Invalid or expired unsubscribe link. instead of the preferences page. The fix is a fresh email — every Calso email carries a new link, so any recent confirmation or receipt will open the page normally.
Can I unsubscribe a client myself, or put one back on my list?
No. Email preferences belong to the client, and they are only reachable through the personal link in the footer of an email addressed to them. You cannot edit them on someone's behalf, and Calso does not keep a list of who has opted out. To get a client back on your list, ask them to open Manage email preferences from a recent email and turn the categories they want back on.
