Availability & Scheduling
Set where a session happens
Every event type carries one location — a video room, a phone call, a venue you meet at, or the client's own front door. Here's what each choice needs connected first, what the client sees, and where the address ends up.
Where a session happens is set on the event type, not on your workspace, so a 60-minute video consult and a 90-minute studio visit can live side by side on the same booking page and send clients to completely different places. Getting the location right is what turns a confirmation email into something a client can actually act on.
Open Event Types in the sidebar under Configure, click the event type you want, and stay on the Details tab. Location sits just below Duration, as a grid of tiles. If you haven't made an event type yet, start with create your first event type.
What each location choice does
| Choice | What it does |
|---|---|
| None | Leaves the location blank. Nothing about where to go appears anywhere — use it when you arrange the details with each client yourself. |
| Google Meet | Creates a fresh Meet link for every booking, inside the calendar event itself. |
| Zoom | Creates a separate Zoom meeting for every booking, each with its own join link. |
| Microsoft Teams | Creates a Teams meeting for every booking. |
| Phone | Marks the session as a phone call. No number is attached to it. |
| In Person | Opens the venue picker, where you choose a saved venue or the client's own address. |
| Custom URL | Uses one fixed link you paste in — a standing room you host yourself. |
Custom URL suits a room with a permanent address — your own standing meeting
room, or a waiting-room link you already give everyone. Paste the full link
including the https:// at the front. Every booking of that event type sends
clients to the same room, so it fits drop-in style work better than private
sessions running back to back.
Set the location on an event type
- Open the event type
Go to Event Types in the sidebar, click the event type you want to change, and stay on the Details tab that opens by default.
- Pick a location tile
Click one tile under Location. A dimmed tile is waiting on something: hover Zoom or Microsoft Teams and you get a Connect → link straight to the Integrations page, while a tile that is connected but pointing at the wrong calendar tells you so — Requires Google as your booking calendar.
- Choose a venue or a house call
Only for In Person. A search box reading Search venues or choose an option... appears; pick a saved venue from the Venues list, choose Client's location (house call), or follow + Create new venue to build one. Once chosen, the venue shows as a card with a Change link if you need to swap it, and Show venue photos on booking page appears beneath — ticked by default, untick it to keep that space's photos off this event type.
- Save the event type
Choosing a tile doesn't save anything on its own. Press Save at the top of the editor, and the new location applies to every booking made from that moment on — sessions already on your calendar keep the location they were booked with.
What the video options need connected first
Google Meet and Microsoft Teams links are built inside the calendar event, so they depend on which calendar receives your bookings. Google Meet needs Google Calendar to carry the Booking Calendar badge; Microsoft Teams needs Microsoft 365 to carry it, unless you've connected Teams on its own from the Integrations page. Both are set on the Calendars tab in Settings — see which calendar receives bookings. Zoom is different: it connects on its own from the Integrations page and works whatever your booking calendar is.
A tile you can select shows a green tick and the account its links will come from. If an event type is left on Google Meet after its Google connection goes away, a warning appears under the picker: This event type uses Google Meet, but you don't have a Google Calendar connected. Meeting links won't be generated for new bookings.
A saved venue, or the client's front door
Pick In Person and you have two ways to answer "where":
A venue is a place you've saved once and reuse — its address, map, arrival and parking notes, accessibility details, and photos. Clients see it while they're choosing a time, not only afterwards, which cuts down the "where do I park?" email considerably. A venue saved with Hide full address until confirmed is the deliberate exception: it shows its name and city while a client picks a time and hands the address, map, and instructions over on the confirmation screen once the booking is confirmed. Build either one from Venues in the sidebar.
Client's location (house call) flips the direction: you go to them. Instead of showing an address, the booking page tells the client You'll provide your address at checkout, then asks for it on the booking form under Your Address — address line 1, city, state or province, and postal code are all required, so no one can book a house call without telling you where to turn up. There's an optional Access / Arrival Instructions box for gate codes, buzzer numbers, and parking, and an optional second address line for an apartment or unit.
If you choose In Person and pick neither, clients simply see the words "In Person" with nothing to act on. Pick one before you save.
What the client sees, and what lands on your calendar
On your booking page, each event type's card carries its location next to the duration — "60 min · Google Meet", or the venue name and city, or Your location for a house call. Choose a venue and its address, arrival, parking, and notes appear beside the calendar while the client picks a time, with the space's photos above them when Show venue photos on booking page is ticked; the map and the Get Directions link follow on the confirmation screen. A venue set to hide its address until confirmed shows its name and city here instead, and tells the client the rest follows once the booking is confirmed — see create a venue with directions and access details.
After booking, a video session shows Link will be in your confirmation email with a Copy link button, and the confirmation email carries a Meeting Link row with a join button naming the provider. A venue session gets a Location row with the venue name, the full address, a Get Directions → link, and your arrival, parking, transit, and access notes underneath — a hidden address included, since the booking is confirmed by then.
Your calendar entry is where a house call lands: the client's address becomes the event's location, and the event description carries a House Call line with the address and whatever instructions they typed. That address is not repeated in your confirmation email, so the calendar you actually look at each morning is the one that needs connecting.
Next, build the place you meet clients — addresses, directions, access details, and photos — in create a venue with directions and access details.
Frequently asked questions
Why is the Google Meet option greyed out?
Google Meet links are created inside the calendar event itself, so Calso can only make one if Google Calendar is the calendar that receives your bookings. Connect Google Calendar on the Calendars tab in Settings, choose Create bookings on its row so it carries the Booking Calendar badge, then reopen the event type — the tile will be selectable.
Can one event type be both video and in person?
No. Each event type carries exactly one location, which is what lets Calso tell the client where to go before they pay. If you offer the same work both ways, duplicate the event type from the Event Types list and give the copy the other location and its own title, so clients pick the format they want when they book.
How does a client tell me their address for a house call?
Choose In Person, then Client's location (house call). A Your Address block appears on the booking form asking for address line 1, city, state or province, and postal code, plus optional access and arrival instructions. All four required fields must be filled before the client can finish booking, and the address is written onto the calendar event for that session.
Does choosing Phone attach my phone number to the booking?
No. Phone labels the session as a phone call and nothing more. The Phone number field on the booking form is optional and belongs to the client — it saves to their client record rather than appearing on the invite. If you are the one placing the call, ask for the best number with a required intake question.
