Connect your calendar
Link Google Calendar, Microsoft Outlook, or a read-only iCal feed so Calso hides the hours you're already busy and writes every new booking onto the calendar you actually live in.
Connecting a calendar is what turns your booking page from a list of hours you typed in once into a live picture of when you are genuinely free. Calso reads the times you're already busy and hides them, then writes every new session back onto your real calendar so it sits alongside everything else in your day.
You do this from Settings in the sidebar, on the Calendars tab. The page is headed Calendar Connections and holds one card per provider: Google Calendar, Microsoft Outlook, and iCal Feeds. It's also the item the Setup Guide on your dashboard calls Connect your calendar.
What connecting actually buys you
Three separate things, and it's worth knowing which is which because they're controlled separately once you're connected.
The first is conflict checking. Anything already on a connected calendar — a dentist visit, a school pickup, someone else's meeting invite — blocks that time from your booking page. Calso reads only the busy periods, never the titles or the guests, so a client never learns anything about the event that's in the way. Every calendar arrives with its Check conflicts toggle already on.
The second is the booking calendar. One connected calendar carries the Booking Calendar badge, and that's where new sessions are written. The client's email address is added to the event, so they get the invite and the session lands on their calendar too. The very first calendar you connect becomes the booking calendar automatically.
The third is video meeting links. If an event type's Location is set to Google Meet, the link is generated only when Google is your booking calendar; Microsoft Teams needs Microsoft 365 in that role. Choose the wrong one and the tile is greyed out with a note telling you which calendar it needs. There's more on this in set where a session happens.
Connect Google Calendar or Microsoft Outlook
- Open the Calendars tab
Go to Settings in the sidebar and choose the Calendars tab. Each provider you haven't linked yet reads Not connected.
- Press Connect on the provider you use
Press Connect on the Google Calendar or Microsoft Outlook card. Calso hands you off to Google or Microsoft to sign in — your password is entered on their site, never in Calso, and Calso never stores your calendar credentials.
- Approve the calendar permissions
Approve the request to read your calendar and add events to it. Both permissions matter: reading is what hides your busy times, and adding events is what puts new sessions on your calendar and creates meeting links.
- Check the row that comes back
You land back on the Calendars tab with the account listed under the provider card. Confirm Check conflicts is on, and that the calendar you want sessions written to carries the Booking Calendar badge.
To add a second account — a work login as well as a personal one — expand the provider card and use Add another Google Calendar account or Add another Microsoft Outlook account at the bottom. Each account you connect covers that account's main calendar.
Add an iCal feed
An iCal feed is a read-only calendar you add by URL. It's the right tool for a calendar Calso can't sign in to: a shared family calendar, a co-working space schedule, a rental booking calendar, or a second calendar sitting inside an account you've already connected. Feeds only ever block time — they can't receive bookings, so they never carry the Booking Calendar badge.
Press Add Feed on the iCal Feeds card and fill in two fields:
- Feed URL — the public iCal address published by the other calendar. In Google Calendar it's the secret address in iCal format in that calendar's settings; in Outlook it's the published calendar link. Calso fetches the address as you add it, so a typo is caught immediately.
- Label (optional) — a name for your own benefit, like "Work Calendar" or "Studio rental".
Press Add Feed to finish, or Cancel to back out. Feeds are re-read about every fifteen minutes rather than the moment something changes, so give a newly added commitment a few minutes before checking your booking page for it.
How many calendars your plan includes
Connecting is available on every plan. What changes is how many accounts and feeds you can have connected at once, counted together.
| Plan | Connected calendar accounts |
|---|---|
| Starter | 1 |
| Practice | 3 |
| Studio | Up to 8 |
| Platform | Up to 8 |
When a connection needs attention
Calendar authorizations expire — usually because a password changed or access was revoked on Google's or Microsoft's side. When that happens the provider card shows a Disconnected badge, and expanding it reveals a Connection lost banner with a Reconnect Now button. Press it, sign in again, and your existing settings survive untouched — you don't have to redo which calendars check conflicts or which one receives bookings.
Reconnect promptly rather than at the weekend. While a connection is broken, new bookings can be turned away because Calso would rather refuse a session than confirm one it can't verify against your calendar. An individual calendar with a problem is flagged Sync error on its own row; an iCal feed that can't be reached reads Sync error — feed may be unreachable, which usually means the address changed or the source calendar was un-published.
What Calso does not change on your calendar
The sync runs one way. Calso writes its own bookings to the booking calendar and reads busy times from the rest — it never edits, moves, or deletes events that came from anywhere else, and nothing you do inside your calendar app changes a Calso booking. If you drag a session to a new time in Google Calendar, Calso still has the original time, so reschedule from your Calso bookings list instead. A short summary of all this sits beside the provider cards under How calendar sync works.
Next, decide which calendars block your times and which one receives new sessions in choose which calendars block your times and which one receives bookings, then set your weekly availability hours.
Frequently asked questions
Does signing in to Calso with Google connect my calendar?
No. Signing in with your Google account only creates and identifies your Calso account — it does not ask for calendar access, so nothing is synced. You have to connect the calendar separately from Settings, on the Calendars tab. Until you do, Calso has no idea what else is on your day.
How many calendars can I connect?
It depends on your plan: Starter includes one connected calendar account, Practice includes three, and Studio and Platform include up to eight. Every plan can connect Google Calendar, Microsoft Outlook, and iCal feeds — the plan only changes how many accounts you can have at once.
Can clients see what's on my personal calendar?
No. Calso only reads the busy and free periods from a connected calendar, never the titles, guests, or notes on those events. Your booking page shows open times and nothing else, so a private commitment simply makes a time disappear from the list.
Do I have to connect a calendar before I can take bookings?
No — your booking page works either way, and clients can still book and pay. But with no calendar connected, nothing is written to your calendar, no video meeting link is generated, and Calso can only avoid double-booking against sessions already booked through Calso. Connecting one is worth the two minutes.
