Find, filter, and export your bookings

How the Upcoming, Past, and All tabs work, what each of the four filters actually matches, when to switch to calendar view, and exactly what lands in the CSV export.

Every one-to-one session a client has ever booked with you sits on one screen. It answers "who am I seeing on Thursday" and "did that person ever pay", and it is where you pull the whole lot out as a spreadsheet for your bookkeeper.

Open Bookings from the top of the sidebar. It lands on the Upcoming tab in list view, and the number that was beside it counts bookings you have not looked at yet.

The Upcoming, Past, and All tabs

Three tabs at the left of the toolbar decide which stretch of time you are looking at. Upcoming is the default: everything from right now forward, soonest first — the list you work from each morning. Past is everything that has already started, most recent first, so the session you just finished is at the top. All runs oldest to newest, making it the tab for reading a client's whole history in order. Your tab and view are kept in the address as you switch, so the one you use most can be bookmarked.

The four filters

Four controls beside the tabs narrow whatever the tab is showing, and they stack.

Search clients... matches the client's name and email address, and nothing else. Typing an event type's name here returns nothing, because the search never looks at event titles or your notes — use the event type dropdown for that.

All statuses narrows to one status: Confirmed, Pending Approval, Payment Pending, Completed, No-Show, Cancelled, or Abandoned. The last two split cleanly — Cancelled leaves out checkouts a client started and walked away from, and Abandoned shows only those. What each one means is in what each booking status means.

All event types lists your event types by title, so you can pull up just your discovery calls.

All sources narrows by how the booking reached you: Direct from your own booking page, Portal from a returning client signing into their portal, Embed from a booking widget on your website, and Post-purchase from someone booking straight after buying. That is the same Source shown in each row's last column, and a different thing from the referral source on a client's record. Widgets record slightly different origins depending on how they were placed, so to count what your website brings in, read the Source column with All sources selected rather than filtering by Embed.

When nothing matches, the list reads "No bookings match your filters" and offers Clear all filters, which resets all four and keeps your tab.

Reading a row

Each row carries five columns: Event, Client, Date & Time, Status, and Source. Under the event title sits its length and whether the session was paid for with money (Paid), drawn from a client's package (Package), or free (Free). A gold New badge marks anything that arrived since you last opened this page.

Clicking a row opens the booking's detail panel, where the intake answers, payment, and session notes live. The three-dot button at the end of the row is faster when you know what you want: View details, Reschedule, View client profile, Mark as no-show, and Cancel booking, each appearing only where the status allows it. Two more actions sit on the row itself — a booking waiting on you shows Approve and Decline, and a confirmed session whose end time has passed shows Mark as Completed.

Closing a session out is also available inside the detail panel, where the same action is labelled Mark Completed and sits along the bottom beside Reschedule, Mark No-Show and Cancel. That is the handier route when you opened the booking to read the intake answers or write up your notes, since you never have to close the panel and hunt for the row again.

Switching to calendar view

Two small icons at the right end of the toolbar — a list and a calendar — swap the rows for a grid. Week and Month buttons sit above it with arrows to step backwards and forwards; weeks run Monday to Sunday.

Each booking becomes a coloured block: purple when a package credit paid for it, gold when money did, grey when it was free. Cancelled bookings are struck through. Alongside them, faint read-only blocks show what is already on your connected calendars, so you see your Calso sessions against the rest of your day; anything private or untitled shows simply as Busy. In Month, a day with more than three bookings shows the first three and a count of the rest — click it to drop into that week.

Two differences matter. The Upcoming and Past tabs have no effect here, since the calendar shows whichever week or month you navigated to, though your other filters still apply. And it is not capped at 50 bookings, making it the reliable way to look back over a heavy month.

Exporting every booking to a spreadsheet

  1. Click Export CSV

    The button is at the top right, beside the heading, on every plan. It does not matter which tab you are on or what you have filtered — the export ignores all of it.

  2. Wait for the button to finish

    It reads Exporting... while Calso gathers the file, which on a large workspace takes a few seconds. The file then downloads on its own, named for today's date: bookings-2026-08-27.csv for one pulled on 27 August 2026.

  3. Open it and filter there

    The spreadsheet holds eight columns — Date, Time, Client Name, Client Email, Event Type, Status, Payment Amount, Payment Status — with rows running newest first by start time. Any narrowing — a date range, one event type — is done with your spreadsheet's own filters.

Dates are written year-month-day and times on the 24-hour clock, so they sort correctly. Payment Amount is blank for anything never paid in money, package-credit sessions included, and Payment Status reads Paid, Pending, or N/A. Cancelled and abandoned bookings are all in the file, so filter the Status column before totalling anything.

When a booking isn't in the list

The list shows at most 50 rows with no next page, so on a busy workspace the All tab will not reach the start of your history. Narrow with a filter, or switch to calendar view.

Registrations for a group event never appear here — Bookings is one-to-one sessions only. Attendees for each dated group session live on the group event itself, covered in run a group event or recurring series. And when a client reschedules themselves you will see two rows, because the original stays in the list pointing at its replacement.

Once you have found the booking, each thing you can do to it has its own article: reschedule it, cancel it and choose the refund, or mark a no-show and decide the credit.

Frequently asked questions

Why does my bookings list stop after 50 bookings?

The list shows at most 50 rows at a time and there is no next page. Narrow it with the tabs and filters until what you want is inside that window — filtering by event type or by status is usually enough. Calendar view has no such limit, so it is the better place to look back over a busy month.

Does Export CSV only export the bookings I have filtered?

No. Export CSV always exports every one-to-one booking in your workspace, whatever tab you are on and whatever filters you have set, sorted newest first. Cancelled and abandoned bookings are included. Do your filtering in the spreadsheet after the file downloads.

Why don't my group event registrations show up in Bookings?

Bookings only lists one-to-one sessions. Registrations for a group event are held on the group event itself, under Groups in the sidebar, where you can see the attendee list for each dated session. They are not in the CSV export either.

What does the gold New badge on a booking mean?

New marks a booking that arrived since the last time you opened the Bookings page, and the same count drives the number beside Bookings in the sidebar. A couple of seconds after the page loads, every New badge in the workspace clears at once, whether or not you opened those rows — so treat it as a signal that something arrived, not as a to-do list.
