Availability & Scheduling

Give one event type its own hours and scheduling rules

Use an event type's Availability tab to give it custom weekly hours, restrict it to specific dates, override your buffer and notice, and cap how many can be booked in a day or a week.

Updated August 27, 2026

Most of what you offer can run on one set of weekly hours. The exceptions are the interesting ones — the intake call you only take on Tuesday mornings, the workshop that runs on three dates and never again, the deep session you will do twice a day and no more. Each is a setting on one event type, and none of them disturbs the rest of your schedule.

Click Event Types in the sidebar, under the Configure group, choose Edit on the one you want, and open its Availability tab. Four panels sit there: Weekly Hours and Date Restrictions on the left, Scheduling Rules and Booking Limits on the right.

What each panel overrides

PanelWhat it changesSaved by
Weekly HoursReplaces your workspace weekly hours for this event type onlyIts own Save, inside the panel
Date RestrictionsLimits the event type to a fixed list of calendar datesThe Save at the top of the editor
Scheduling RulesBuffer, minimum notice, and how far ahead this event type can be bookedThe Save at the top of the editor
Booking LimitsCaps how many bookings this event type can take in a day or a weekThe Save at the top of the editor

Everything here reads times in the one time zone on your workspace settings. There is no separate time zone per event type.

Custom weekly hours for one event type

Left alone, the panel reads "Using workspace default availability. Enable to override availability for this event only." Switch the toggle on and you get the same seven-day grid as the Availability page, except it starts empty with every day reading Unavailable — you are building the week from scratch, not editing a copy of your usual one.

  1. Open the event type's Availability tab

Click Event Types in the sidebar, choose Edit on the event type, then click the Availability tab in the row beside Details.

  2. Switch on Weekly Hours

Flip the toggle beside the Weekly Hours heading. The panel expands and reads "Set custom weekly hours for this event type." Every weekday starts unticked.

  3. Tick the days this event type runs

Tick each day you want, then set its start and end from the two dropdowns, which step in fifteen-minute increments. Use + Add window for a day that has a morning and an afternoon block, and Remove to drop a window you no longer want.

  4. Press Save inside the panel

Use the Save button at the bottom of the Weekly Hours panel, not the one at the top of the page. It reads "Saving..." while it works and a green Saved! appears beside it. If a window runs backwards you will see "Start time must be before end time" instead — fix it and save again.

  5. Check the days you left out

Any day with no ticked window reads Unavailable, and this event type offers nothing that weekday even if your workspace hours are wide open — so read the column top to bottom before you leave the page.

Limit an event type to specific dates

Date Restrictions is for things that happen on named dates rather than every week — a workshop, a one-off intensive, a drop-in clinic. Switch the toggle on, pick a date, click Add Date, repeat for each date, then press Save at the top of the editor.

Those dates are then the only dates this event type can be booked on. Each one starts with no times of its own and reads "No specific times — uses your regular weekly hours for this day," meaning it falls back to your weekly hours for that weekday. Click + Add time window on a date to give it its own hours instead — 6:00 PM to 9:00 PM on a Saturday your regular week has closed, say. Remove date takes a date off the list.

Each entry is a single calendar date, so there is no repeating pattern to set up here. Calso warns you in amber as you go if a date has passed, if a window runs backwards, if two windows on one date overlap, or if a window is shorter than the session length — that last one matters, because a 45-minute window will never offer a 60-minute session.

Scheduling Rules for one event type

The Scheduling Rules panel carries the same three ideas as your workspace Scheduling Defaults, plus one extra field:

  • Buffer time — padding after each session, in minutes.
  • Minimum notice (minutes) — how close to the start a client can still book.
  • Minimum notice (hours) — the same idea in hours. Anything above 0 here replaces the minutes value rather than adding to it, so use one field or the other, not both.
  • Maximum advance — how many days into the future this event type is offered.

Daily and weekly booking caps

Booking Limits protects your capacity. Daily limit and Weekly limit each take a number of bookings, with 0 meaning unlimited. Set Daily limit to 2 on a demanding 90-minute session and the third slot of any day stops appearing on your booking page, whoever is looking at it.

Both numbers count the total across all your clients, not per person, and they count bookings for this event type alone — a day filled with intake calls does not close off your follow-ups. Anything confirmed, waiting on your approval, or waiting on payment counts toward the total, and the week runs Monday to Sunday in your workspace time zone.

To see which of your offerings carry their own rules, glance down the Event Types list: a card shows a small strip like "15m buffer" or "30d advance" wherever an event type has overridden your defaults.

Frequently asked questions

Can I offer one event type only on Tuesday mornings?

Yes. Open the event type, go to its Availability tab, and switch on Weekly Hours. Tick Tuesday, set the window you want, leave every other day unticked so it reads Unavailable, and press Save inside that panel. Only that event type follows those hours; everything else keeps using the workspace hours from the Availability page.

Why is my event type still showing its old hours after I turned on Weekly Hours?

Switching the toggle on only opens the panel — the override starts working once you tick at least one day and press the Save button inside that panel. Until custom hours are actually saved, the event type falls back to your workspace weekly hours. Note that this panel has its own Save; the Save button at the top of the editor does not save it.

I turned on Date Restrictions but nothing changed. Why?

Date Restrictions only take effect once at least one date is in the list. With the toggle on and no dates added, the event type carries on using your regular weekly hours. Click Add Date for each date you want to offer, then press Save at the top of the editor.

Does a daily limit of 3 mean three bookings per client or three in total?

Three in total, across every client, for that one event type on that day. Booking Limits protect your capacity rather than rationing individual clients, and there is no per-client cap in Calso. The weekly limit counts the same way, over a week that runs Monday to Sunday in your workspace time zone.
