Availability & Scheduling
Set your weekly availability hours
Set the hours you can be booked on each weekday, split a day into a morning and an afternoon block, and understand the one time zone every one of those hours is read in.
Your weekly hours are the outer boundary of your working week — the recurring blocks of time a client is allowed to book into. Everything else in Calso narrows this down. Nothing widens it, so this is the first screen worth getting right.
Open Availability in the sidebar, under the Configure group. The left side of that page is the weekly grid, one card per weekday, with the reminder "Set your weekly hours. These apply to all event types by default." The panel on the right holds your Scheduling Defaults and Smart Scheduling, which are covered separately in buffers, notice, and how far ahead clients can book and Smart Scheduling.
What you already have before you start
A brand-new workspace is created with Monday to Friday, 9:00 AM – 5:00 PM already set. That is a real, live schedule — if you publish a booking page and never open this screen, clients can book those hours. So it's worth setting your real hours before you send anyone a link, rather than after.
The seven cards run Sunday through Saturday. Each one has a checkbox beside the day name that switches the whole day on or off, and every day you switch on holds one or more time windows.
The time zone your hours are read in
Calso stores weekly hours as plain clock times and reads all of them in one time zone: the Timezone on the General tab of Settings, inside the Workspace card. Not your laptop's zone, not your client's.
Set your hours day by day
- Open the Availability page
Choose Availability from the Configure group in the sidebar. Each weekday appears as its own card, showing either its time windows or the word Unavailable.
- Switch on the days you work
Tick the checkbox beside a day name to open it. A day you switch on for the first time arrives at 9:00 AM – 5:00 PM, which you then adjust. Untick a day you don't work and its card collapses to Unavailable.
- Set the start and end of each window
Use the two dropdowns to pick a start and an end. They move in 15-minute steps and cover the full 24 hours, so overnight or very early hours are available if that's how you work.
- Add a second window to a day if you need one
On any day that is switched on, select + Add window in the top right of that day's card. The new window arrives at 1:00 PM – 5:00 PM and you adjust it like the first. Use Remove beside a window to delete it — that link appears only once a day has two or more windows, since a day switched on must keep at least one.
- Save the whole week
Select Save at the bottom of the grid. The button reads Saving... while it works and Saved! when it's done. Nothing you changed takes effect until you do this — moving between days does not save as you go.
Splitting a day around a lunch break
Two windows on the same day is how you protect a gap in the middle of it. Set Wednesday to 9:00 AM – 12:00 PM, then use + Add window and set the second block to 1:00 PM – 5:00 PM. Clients see morning and afternoon times and nothing between noon and one. A day can hold as many windows as you need.
Two things to watch. Both times in a window must run forwards — if a start is the same as or later than its end, saving stops and the message Start time must be before end time appears next to the button until you fix it. And a session has to end inside its window, not just start inside it, so a 60-minute session in a 9:00 AM – 12:00 PM block can start no later than 11:00 AM. Start times are always offered on 15-minute marks regardless of how long the session is.
What narrows these hours down
Your weekly hours say when you could be booked. Three other things subtract from that, and none of them can add to it:
- Your connected calendars. Anything busy on a calendar with conflict checking on is removed from your open times. This is how you handle a single day away without touching the grid — see connect your calendar.
- Your Scheduling Defaults. Buffer time, minimum notice, and how far ahead clients can book all trim the list further.
- An individual event type. Any event type can be given its own weekly hours on its Availability tab, under Weekly Hours. Those replace the workspace hours for that one event type rather than combining with them.
Where to go next
With your hours set, the next thing that changes what clients actually see is the panel beside the grid. Read set buffers, minimum notice, and how far ahead clients can book, then create something for clients to book with your first event type.
Frequently asked questions
What time zone are my Calso availability hours in?
All of them are read in the single workspace time zone set under Settings, on the General tab, in the Workspace card. There is no time zone picker on the Availability page and no per-day time zone. If you set Tuesday to 9:00 AM – 5:00 PM, that means 9 to 5 in the workspace time zone, no matter where you or your client happen to be. Clients see those times converted into their own zone on the booking page.
How do I take a single day off without changing my weekly hours?
Put a busy event across that day on a calendar you have connected to Calso, with Check conflicts turned on for it. Calso reads that calendar when it builds your list of open times, so anything busy there disappears from your booking page automatically and comes back when the event does. Your weekly hours stay exactly as they are.
Why is the last bookable time earlier than my closing time?
A session has to finish inside the window, not just start inside it. If Thursday runs 9:00 AM – 5:00 PM and the session is 60 minutes, the last time a client can pick is 4:00 PM. Extend the end of the window if you want a session that starts at your closing time.
Can different event types have different hours?
Yes. Your weekly hours on the Calso Availability page are the default for everything you offer, but any single event type can be given its own weekly hours on its Availability tab. Those custom hours replace the workspace hours for that one event type rather than adding to them, and the event type offers nothing on a day you leave unticked.
