Connect Zoom
Connect your Zoom account so every Zoom booking and group session gets its own meeting and join link, how Calso keeps those meetings up to date, and how to disconnect or remove Calso from Zoom.
Connecting Zoom lets Calso create a Zoom meeting for every booking and group session you run on Zoom, put its join link in front of your client, and keep the meeting in step when a session is moved or cancelled. You connect once, from the Integrations page, and choose Zoom as the location wherever you want it.
Add Zoom to Calso
- Open Integrations
Click Integrations in the sidebar. Under Video Conferencing, click the Zoom card (Auto-generate unique Zoom meeting links).
- Connect Zoom
Click Connect Zoom. Zoom opens, asks you to sign in if you aren't already, and shows what Calso is asking to do on your account: manage the meetings it creates for your bookings and read your name and email.
- Allow, and you're back in Calso
Approve it. Zoom sends you back to the Integrations page, and the Zoom card reads Connected.
Use Zoom for your sessions
Choose Zoom as the location of an event type, or of a group event, under Location in its editor. (A dimmed Zoom tile means Zoom isn't connected yet; hovering it shows a Connect → link back to the Integrations page.)
- One-to-one bookings: when a booking is confirmed, Calso creates a scheduled Zoom meeting for it on your account, and the join link goes in your client's confirmation email. While the event type's location is Zoom, a reschedule moves the meeting to the new time and a cancellation deletes it. If you change an event type's location away from Zoom, the meetings already made for its bookings stay on your Zoom account; delete any you no longer need in Zoom.
- Group sessions: each session gets one meeting, created once the session is within seven days, and everyone registered for the session joins the same meeting. A client who registers earlier is told the link will follow, and it arrives in their reminder emails, so leave Booking reminder on under Settings › Notifications for Zoom group events. If the session moves, the meeting moves with it; if the session is cancelled, or you change the event's location away from Zoom, Calso deletes the meeting.
Disconnect Zoom from Calso
- Open the Zoom card
Go to Integrations in the sidebar and click the Zoom card.
- Disconnect
Click Disconnect Zoom, then Disconnect to confirm. Calso deletes the connection and also ends its access on Zoom's side, so Calso disappears from your Zoom account's installed apps.
Remove Calso from your Zoom account
You can also remove Calso from Zoom's side. Sign in at marketplace.zoom.us, open Manage, then Added Apps, and click Remove beside Calso. Zoom tells Calso, and Calso deletes your Zoom connection, the same as disconnecting from Calso.
Either way, meetings Calso already created stay on your Zoom account (see the questions below), and you can reconnect at any time from the Integrations page.
What Calso keeps
For each meeting, Calso stores its join link (and, for a group session, its Zoom meeting id), so it can move or delete that meeting and share the link with your client. For your connection, it stores your Zoom account's name and email, your Zoom user and account ids, and the access tokens Zoom issues, which are encrypted. When Calso creates a one-to-one booking's meeting, its title includes your client's name, and for some bookings your client's email is set as the meeting's contact, so Zoom holds those under your account. A group session's meeting is titled with the session or event name only. Disconnecting or removing Calso deletes the connection and its tokens. Our privacy policy has the details.
Frequently asked questions
Does each client get their own Zoom meeting?
Yes. Every one-to-one booking on a Zoom event type gets its own scheduled meeting on your Zoom account, with its own join link. A group session gets one meeting that everyone registered for that session joins.
What does Calso do with my Zoom account?
Only four things: it reads your Zoom account's name and email once, to show which account is connected, and it creates, moves and deletes the meetings for your Calso bookings and group sessions. It does not read your other meetings, recordings, chat or participants.
What happens to meetings that already exist if I disconnect?
They stay on your Zoom account, and Calso can no longer move or delete them. If you cancel one of those bookings after disconnecting, delete its meeting in Zoom yourself. New bookings on a Zoom event type get no Zoom meeting until you reconnect or change the event type's location.
Do my clients need a Zoom account?
No. The meetings are on your account, and clients join from the link Calso sends them, the same way they join any Zoom meeting.
