Create a venue with directions and access details

Save an in-person location once — address, map, parking and arrival notes, accessibility details, and photos — and every event type you attach it to sends those directions to clients automatically.

A venue is a place you meet clients, saved once. Fill in the address, the door to use, where to park, and what the space is like, and every event type you attach it to passes those details on — beside the calendar while clients pick a time, or held back until the booking is confirmed if you'd rather, and always in the confirmation email — so nobody arrives at the wrong entrance at ten past the hour.

Venues live under Venues in the Configure group of the sidebar. The page opens on Your Venues, with + Add Venue to start a new one; a brand-new workspace shows No venues yet until you add the first. There's no plan requirement and no limit on how many you keep.

What a venue record holds

A venue's details reach clients in three places. On your booking page, each event type's card carries the venue name and city, plus any accessibility details you ticked. Open the event type itself and the venue sits beside the calendar with its full address and your arrival, parking, and special notes — along with its photos, when that event type is set to show them. Once the session is confirmed, the confirmation screen adds the map, a Get Directions link, and the contact to ask for on arrival, and the confirmation email carries the same again.

How much of that a client sees before they book is yours to set, one venue at a time.

Build the venue record

  1. Open the venue form

    Choose Venues from the Configure group in the sidebar and select + Add Venue. The form opens under the heading New Venue; Back to venues in the top left returns you to the list.

  2. Name the place

    In the Venue Name & Description card, fill in Name * with what you'd call the place out loud — "Main Studio", "Riverside Clinic". That's the name a client reads on your booking page and in their confirmation. Description is optional.

  3. Enter the address

    The Address card asks for Address Line 1 *, City *, State / Province *, Country *, and Postal Code * — all five are required, and Save stays inactive until each has something in it. Address Line 2 is the optional line for a suite or floor.

  4. Write the directions

    In the Instructions card, write what a first-time visitor needs: Arrival Instructions for finding the entrance, Parking Instructions for where to leave a car, Transit Instructions for the nearest stop, Special Notes for anything else. Any you leave blank doesn't appear.

  5. Tick the accessibility details that apply

    The Accessibility card offers Wheelchair accessible, Elevator available, Ground floor access, Accessible parking, Accessible restroom, Hearing loop, and Service animals welcome. Tick only what's true of the space, and use Additional Accessibility Notes for the rest — a step at the threshold, a quiet room on request.

  6. Say who to ask for on arrival

    Contact on Arrival suits a shared or staffed building: Contact Name takes a person or a desk, Phone takes a number a client can tap from the confirmation email, and Contact Instructions takes the sentence that goes with it. Skip it if clients come straight to you.

  7. Add photos of the space

    In the Photos card, click the dashed area or drag files onto it to add up to five images. It tells you how many you have left, and the first photo you add becomes the venue's thumbnail in Your Venues.

  8. Save the venue

    Select Save in the top right. It reads Saving... while it works, then a green Saved! appears. On a brand-new venue this is also the moment your queued photos upload, so wait for Saved! before navigating away.

The address, the map, and hiding it until booked

When you save, Calso looks the address up and drops a small map into the Address card with a View on Google Maps link beneath it. The same lookup powers the Get Directions link in your clients' confirmation emails.

If it comes up empty the venue still saves, and in place of the map you'll see We couldn't locate this address on the map. Double-check the address and save again to retry. Fix the address and select Save again — editing any of the five address fields re-runs the lookup automatically.

The Address card also carries Hide full address until confirmed, for a home studio or any space you would rather not publish. Tick it and every screen a client sees before their booking is confirmed shows the venue name and its city, state or province, and country — and nothing else. The street lines, the postal code, the map, the Get Directions link, your arrival, parking, transit, and special notes, the contact on arrival, the accessibility ticks, and the photos are all held back: on the event type's booking page, inside an embed of that page, and on a group event's page alike. In their place the client reads The full address and arrival details are shared once your booking is confirmed.

Everything comes back the moment the booking is genuinely confirmed. A free session confirms as the client finishes booking, so the address appears on the confirmation screen straight away and in their confirmation email. A session that takes payment confirms once the payment clears, and the confirmation screen fills the address in by itself a moment later. A session held for your approval keeps the details back until you approve it, and says so on the screen.

If you work from home and travel to clients instead, set the event type to Client's location (house call) — it asks the client for their address at booking and publishes none of yours.

Photos of the space

A venue holds up to five photos, each under 5MB, in JPEG, PNG, or WebP format. Hover a thumbnail to reveal its delete button — photos go immediately, without a confirmation. Underneath each is an Alt text... field, a short description for clients using a screen reader; it saves as you type rather than waiting for Save. Uploads are checked against Calso's content policy, so keep them to the room, the entrance, and the parking.

Attach the venue to an event type

A saved venue does nothing until something points at it: open an event type from Event Types in the sidebar, set Location to In Person on its Details tab, and pick the venue from the search box that appears. Group events use the same picker, so one venue serves both. Editing and removing a venue

Edit beside any venue in Your Venues reopens the form under Edit Venue, and every event type using it picks up your changes as soon as you save — one edit to a door code updates everywhere. A venue in use carries a Used by badge counting the events that depend on it.

Frequently asked questions

Can I use one venue for more than one event type?

Yes. A venue is a saved record, not a setting on a single event type, so you can attach the same one to as many event types and group events as you like. When you edit the venue — a new door code, a change to the parking notes — every event type pointing at it picks up the change straight away. You never have to update the same directions in more than one place.

What happens to my event types if I delete a venue?

They keep working, but they lose their location. Deleting a venue unlinks it from every event type and group event that was using it rather than blocking the deletion, so those events stay bookable with no address attached. If you delete a venue you're still using, go back to each affected event type and pick a new one on the Details tab.

Why isn't there a map on my venue?

Calso looks the address up automatically when you save, and if it can't find a match it saves the venue without a map and tells you so. The lookup uses only Address Line 1, City, State / Province, Postal Code, and Country — Address Line 2 is ignored — so a suite or unit number typed into the street line is the usual cause. Correct the address and select Save again to retry.

Do clients see the venue address before they book?

That is yours to decide, with Hide full address until confirmed in the venue's Address card. Leave it unticked and the full address, map, arrival notes, and photos sit beside the calendar while a client picks a time. Tick it and every screen before the booking is confirmed shows the venue name and city only, with the address, map, and instructions arriving on the confirmation screen and in the confirmation email once the booking is confirmed.
