Send booking emails from your own domain
Register your own sending domain in Calso, add the DNS records it hands you, verify it, and have every client email arrive from your address instead of calso.io.
A verified sending domain puts your own address on the front of every email Calso sends a client — the same confirmations, reminders and receipts, arriving from your business rather than from calso.io.
This lives in Settings → Branding & Email, in the section headed Domains & Email. Two cards sit inside it. The upper one, Custom Booking Domain, is the web address clients book at — covered in point your own domain at your booking page. This article is the lower card, Custom Email Domain, described as Send booking emails from your own domain for a professional look.
What the change covers
At the top of the section, Email Sender shows Emails are currently sent from: and the address in use right now — before you do anything, a prefix at calso.io.
Once a domain is verified, the switch is complete and immediate. Booking confirmations, cancellation and reschedule notices, the reminders you send by hand from a client record, group session emails, package and payment receipts, and the emails your automations send all leave from the new address. Only the address changes, and the display name beside it — not the wording, the timing, or who receives them.
One exception: an automation's Test button always sends from Calso's own address, because a test has no real booking behind it. Test an automation before you rely on it
Add the domain and collect its DNS records
You will need access to whichever company manages your domain's DNS.
- Open Settings and go to Branding & Email
Choose Settings in the sidebar, then the Branding & Email tab. Scroll past the branding controls to the section headed Domains & Email, and find the second card down, Custom Email Domain.
- Type your domain and press Set Up
The box shows the placeholder yourdomain.com. Type the domain you want to send from — just the domain, though pasting a full web address works too because Calso trims off the leading https:// and anything after the slash for you. Press Set Up, which reads Setting up... while it registers the domain, and the card comes back showing your domain beside a yellow Pending verification badge.
- Copy each record into your DNS host
Under Add these DNS records to your domain: you get one card per record, each labelled with its record type and holding a Name and a Value, each with its own Copy button that reads Copied! for a moment afterwards. Copy rather than retype — a single wrong character is the usual reason verification fails — and where a card also shows a priority number next to its type, enter that in your host's priority field.
- Give the records time to spread
Calso notes that DNS changes can take up to 48 hours to propagate, and names GoDaddy, Cloudflare, Namecheap and Google Domains as places to check documentation if you get stuck. Most hosts publish within minutes, so try the next step straight away and come back later if it does not take.
- Come back and press Verify DNS Records
Verify DNS Records sits at the bottom right of the card and reads Verifying... while it checks. If your records have published, the badge turns green and reads Verified, and the card confirms Your booking emails are now sent from: with your new address. If not, press it again later — there is no limit on attempts.
Reading the three states
Pending verification is where every new domain starts: DNS records on screen, Verify DNS Records waiting, mail still leaving from calso.io.
Verified is the finished state. The badge turns green, the record cards disappear because you no longer need them, and the line beneath names the exact address clients will see.
Verification failed means the check ran and did not find what it needed: DNS verification failed. Please check that you have added all the required DNS records correctly and try again. Show DNS Records brings the record cards back so you can compare them against what your host saved, and Retry Verification runs the check again. Almost every failure is either a record that has not published yet or a Value that picked up a stray space when it was pasted.
The name and address clients see
Underneath sits Sender Settings, headed Configure how your emails appear in your client's inbox. Two fields, one of which you can use straight away.
From Name is the display name in the inbox — the placeholder reads Your business name. It is not tied to a domain at all: fill it in and it applies to your calso.io emails too, so it is worth setting even if you never register a domain. Left blank, Calso uses your workspace name.
From Address only appears once your domain is Verified, and it sets the part before the @. Pick from bookings, hello, schedule or noreply, or choose Custom... to type your own — that box takes lowercase letters, numbers, dots, hyphens and underscores, and quietly drops anything else. Your domain sits beside it so you can read the finished address as you build it. Press Save, which flips to Saved!, and the Email Sender line at the top updates to match.
Removing a domain, or losing it to a plan change
Remove Domain is offered in all three states, and it asks once: Are you sure you want to remove this custom domain? Emails will revert to bookings@calso.io. Confirm and it happens immediately — the domain is deregistered and every stored DNS record cleared, so putting it back means working through a completely fresh set. Treat it as a last resort, not a way to retry a failed verification, which Retry Verification already handles.
A plan change is quieter. Because sending needs Studio or higher, dropping below that returns your client emails to calso.io with no warning anywhere on screen — the domain stays listed and still reads Verified. If your address matters to you, weigh that before a downgrade.
With the address settled, the other half of the picture is which emails go out at all. Choose which emails you and your clients receive walks the Notifications tab switch by switch.
Frequently asked questions
Do I need my own domain to send booking emails from Calso?
No. Every workspace sends client emails from an address at calso.io from the moment it is created, and those emails already carry your business name as the sender name in the inbox. A custom sending domain changes the address itself, so the email comes from your own domain rather than from Calso's.
How long does it take to verify a sending domain?
DNS changes can take up to 48 hours to spread, though most domain hosts are much faster than that. Calso does not re-check your records on a schedule, so verification will not happen on its own — add the records, then come back to Settings and press Verify DNS Records. You can press it as many times as you need.
Someone else already registered the domain I want to use. What now?
Calso will tell you the domain is already in use, and suggest a subdomain instead — mail.yourdomain.com, for example. A subdomain is registered and verified exactly like a bare domain, gets its own DNS records, and looks entirely normal to a client reading the email.
What happens to my emails if I remove the domain or change plan?
Both send you back to calso.io. Removing the domain takes effect immediately and clears every stored DNS record, so re-adding it means starting the DNS setup from scratch with a fresh set of records. Dropping to a plan below Studio also returns your mail to calso.io, quietly, with the domain still listed.
