Ask clients questions when they book

Build the booking-form questions on an event type or group event in Calso — pick a question type, mark it required, put the questions in order, and read the answers after someone books.

Every question you ask on the booking form is one you don't have to ask in the first ten minutes of a session. Attach your own questions to any event type or group event, choose the kind of answer you want, decide which ones a client cannot skip, and have the answers waiting for you before you meet.

Questions live on the thing being booked, not on your workspace, so each event type carries its own set. Open Event Types in the sidebar, click the one you want, and choose the Intake Questions tab. A group event works the same way: Groups in the sidebar, open the event, then the Intake tab. Questions are added to something that already exists, so create the event type first.

Add your first question

  1. Open the Intake Questions tab

    From Event Types, click the event type you want to ask about and pick the Intake Questions tab. Until you add one it reads "No intake questions yet. Add questions to collect information from guests during booking."

  2. Press + Add Question

    The + Add Question button sits under the list and opens an Add Question panel where you build one question at a time.

  3. Write the question and an optional hint

    Question text is what the client reads — write it the way you would say it out loud, like "What is your main concern?". Help text is the smaller line underneath, for anything that would clutter the question itself: a format, an example, or a word on how you use the answer.

  4. Choose the field type

    Pick a Field type from the seven described below. Choosing Dropdown or Checkboxes reveals an Options box — type each choice and press Enter, or press Add, and remove one with the small x on its chip.

  5. Decide whether it is required, and who sees it

    Switch on Required if a client must answer before they can finish booking. Leave Internal only off for anything you want a client to answer — it takes the question off the booking form entirely and hands it to you instead.

  6. Save it

    Press Add Question at the bottom of the panel. The question saves on the spot, so you don't need to press Save at the top of the page as well. To change one later, press Edit on its row and then Save Changes.

Dropdown and Checkboxes are only as good as their Options, so add an "Other" alongside your real choices — it lets someone answer honestly instead of picking the nearest wrong thing.

Required, optional, and the order they appear

A Required question gets an asterisk beside it on the booking page, and Calso will not accept the booking until it is answered — a client who tries to skip it sees "This field is required" under the field. An optional question left blank is not recorded at all, so a question missing from the answers later is simply one they chose not to answer.

Use the small arrows on the left of each row to move a question up or down. That list order is exactly the order clients meet the questions in, so put the ones that matter most at the top — attention fades down a long form, and the answers you truly need shouldn't be the last thing they reach.

Beside the editor is Guest Preview, headed "How guests see your intake form". It renders your questions as real fields under Additional Information, asterisks and all, so you can read the form as a stranger would. Anything marked Internal only is left out and counted underneath instead.

On the live booking page the questions arrive after the client's details, on a step of their own headed "A few more questions". Your first client-facing question is what adds that Questions step to the booking flow; an event type with none goes straight from details to confirmation.

Once one question exists, a Pre-fill link card appears at the top of the tab with a Copy button. The link is your booking page address with each question's Identifier on the end — the short, hyphenated name Calso builds from your wording, shown in the editor beside the field type. Type a value after any = and that answer arrives already filled in.

If your question is "What is your main concern?" its identifier is what-is-your-main-concern, so a link ending ?what-is-your-main-concern=Knee%20rehab opens the form with "Knee rehab" in the box, ready for the client to change — handy for booking someone who has already told you by email. Reword a question later and the identifier stays as it was unless you edit that field too, so links already out in the world keep working.

Where the answers arrive

The answers reach you straight away in the email Calso sends about the new booking, listed under Intake Responses. They also stay with the session for good: click that session row anywhere in your dashboard — the Bookings list, or the Upcoming and Past tabs of a client record — and its panel opens on the Details tab with an Intake Responses block naming each question and the answer given. If you take requests rather than instant bookings, the answers ride along in the approval email too, so you can decide with the full picture.

Answers belong to the session they were submitted with rather than to the person, which is why they sit on sessions rather than in one list on a client's page. To keep something on the record that a client never sees, read Keep questions only you can see next.

Frequently asked questions

How many intake questions can I add to a booking form?

On the Starter plan you get five per event type — the cap counts each event type separately, so every one of them gets its own five, and a group event gets five of its own too. Practice and above are unlimited. Try to add a sixth on Starter and Calso answers: Your plan allows up to 5 intake questions. Upgrade to add more.

Do intake questions copy across when I duplicate an event type?

No. Questions belong to the one event type you built them on. Duplicate carries over the price, duration and scheduling rules, but the copy arrives with an empty intake form, so you rebuild the questions on it by hand.

Where do I read what a client answered?

In two places. The email Calso sends you when a session is booked lists every answer under Intake Responses, and the session itself keeps them — click the session row anywhere in your dashboard and the Details tab shows an Intake Responses block with each question and what they wrote.

What happens to old answers if I delete a question?

Answers people have already given stay on the sessions they were given with, so your history is safe. The question itself is gone for good — there is no undo, and you would have to build it again from scratch. If you only want it off the booking form, switch it to Internal only instead of deleting it.
